This Privacy Policy explains how SportIQ Analytics Inc. ("SportIQ", "we", "us", or "our") collects, uses, discloses, stores, and safeguards personal information when you use our websites, hosted dashboards, evaluation tools, signup flows, and related services (collectively, the "Service").
SportIQ is built for sports organizations, governing bodies, teams, agencies, coaches, evaluators, administrators, and related personnel. In many cases, the organization using SportIQ decides what athlete and staff information is entered into the Service and why. In that context, the organization may act as the primary decision-maker for that information, and SportIQ acts as the service provider operating the platform on its behalf.
1. Information We Collect
Depending on how the Service is used, we may collect the following categories of information:
- Account and organization information: names, email addresses, phone numbers, account role, organization name, organization region, sport selection, invitation details, and login credentials.
- Billing and transaction information: subscription plan, billing interval, Stripe customer and subscription identifiers, billing address, tax information, and payment-related status details. Payment card data is collected and processed by Stripe, not stored directly by SportIQ.
- Player, athlete, and participant information submitted by customers: first and last name, preferred name, birth date, birth year, position, handedness, jersey number, player email, guardian email, phone number, hometown information, profile photos, and related roster or participation details.
- Evaluation and performance information: evaluator submissions, ratings, notes, tryout and assignment data, session information, player development records, and reporting outputs created within the Service.
- Support and communications information: messages sent through our contact forms, demo requests, onboarding submissions, support emails, and related correspondence.
- Security and technical information: IP address, browser and device details, session activity, log data, and information used to secure accounts and prevent abuse.
- Anti-spam and fraud prevention information: information returned by Google reCAPTCHA and similar controls used to protect our forms and signup flows.
2. How We Collect Information
- Directly from you when you create an account, request a demo, contact us, reset a password, upload content, or use the Service.
- From your organization or another authorized user when they invite you, assign you a role, upload player information, or provision a workspace.
- Automatically through cookies, session technologies, server logs, analytics tools on our marketing pages, and security tools used on our forms.
- From payment and billing providers, such as Stripe, when a subscription is started, renewed, updated, canceled, or otherwise managed.
3. How We Use Personal Information
- To create and administer accounts, authenticate users, and provide access to organization workspaces.
- To operate evaluation workflows, player management tools, reports, dashboards, and other Service features.
- To process subscriptions, billing, tax handling, invoices, renewals, and related financial administration.
- To communicate with users about accounts, onboarding, support, updates, security issues, and service-related notices.
- To secure the Service, prevent abuse, investigate suspicious activity, and protect our users, systems, and business.
- To analyze and improve our marketing pages, product experience, performance, accessibility, and reliability.
- To comply with legal obligations, resolve disputes, enforce our agreements, and protect our legal rights.
4. Cookies, Analytics, and Similar Technologies
We use cookies, session technologies, and similar tools to keep users signed in, protect forms, and understand how our public marketing pages are used. 5. When We Share Information
We do not sell personal information. We may disclose personal information in the following circumstances:
- Within the customer workspace: to the organization, team, agency, governing body, and authorized users who are given access to the relevant records.
- Service providers: to providers that help us operate the Service, such as Stripe for billing and payments, Google reCAPTCHA for anti-abuse controls, and Google Analytics for marketing-site analytics.
- Professional and operational support: to personnel, contractors, and advisors who need access to support, secure, maintain, or improve the Service and who are subject to appropriate confidentiality obligations.
- Legal and safety reasons: when disclosure is required or permitted by law, court order, subpoena, or to protect the rights, property, safety, or integrity of SportIQ, our users, or others.
- Business transactions: in connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business, subject to appropriate confidentiality measures.
6. Cross-Border Processing
SportIQ and its service providers may process or store information in Canada, the United States, or other jurisdictions where we or our providers operate. As a result, personal information may be accessible to courts, law enforcement, or regulatory authorities in those jurisdictions. If you are located in Quebec, this means personal information may be communicated outside Quebec when our service providers handle it on our behalf.
7. Retention
We retain personal information only as long as reasonably necessary for the purposes described in this Policy, including to operate the Service, maintain customer relationships, comply with legal, tax, accounting, and audit obligations, resolve disputes, and enforce our agreements. Retention periods may vary based on the type of record and the customer relationship. For example, password reset tokens are designed to expire after a short period, while billing and transaction records may be retained longer to satisfy legal and accounting requirements.
8. Safeguards
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, or disclosure. These measures include access controls, authentication safeguards, password hashing, role-based access patterns, and operational security practices appropriate to the sensitivity of the information we process. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your Choices and Rights
- You may request access to personal information we hold about you and ask that inaccurate information be corrected, subject to applicable law.
- You may withdraw consent where our processing is based on consent, subject to legal or contractual restrictions and reasonable notice.
- You may manage cookies through your browser controls and device settings. Disabling certain cookies may affect site functionality.
- If you receive marketing communications from us, you may opt out using the unsubscribe method in the message or by contacting us.
- If your information was provided to SportIQ by your organization, coach, team, agency, or governing body, we may direct your request to that organization where appropriate.
10. Information About Minors
The Service is intended for use by organizations and authorized adults managing sports programs, not for direct self-serve use by children. Because customers may upload player information about minors, including birth dates, guardian contact details, photos, and evaluation records, the customer organization is responsible for ensuring it has all notices, permissions, consents, and other lawful authority required to submit that information to SportIQ and to use the Service for its intended purposes.
11. Third-Party Services
Some parts of the Service rely on third-party services that have their own privacy notices and practices, including Stripe, Google Analytics, and Google reCAPTCHA. Their handling of information is governed by their own terms and policies.
12. Accessibility
SportIQ is committed to improving accessibility and usability for all users. If you encounter an accessibility barrier in our digital content or communications, please contact us so we can review and address it.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to the Service, our practices, or applicable legal requirements. When we do, we will post the revised version on this page and update the effective date above. When required, we will provide additional notice.
